Job Description
The Retail Licensing Coordinator supports the execution and daytoday management of retail licensing programs across mass market, specialty, and independent retail channels. This role acts as a key liaison between internal teams, licensors, licensees, distributors, and retail partners to ensure licensing agreements are executed accurately, approvals are managed efficiently, and licensed products align with brand standards and contractual requirements.
The ideal candidate is highly organized, detailoriented, and comfortable managing multiple projects across creative, legal, and operational workflows while maintaining strong communication with external partners.
Responsibilities
-Manage licensee onboarding documentation and maintain accurate records of licensed products, territories, terms, and expiration dates.
-Coordinate all licensee requests and letters of authorization.
-Track licensing approvals, renewals, and compliance milestones to ensure contractual obligations are met.
-Coordinate product, artwork, and packaging approvals between licensees, artist management teams, and internal creative teams.
-Place retail orders in the production system.
-Ensure licensed products adhere to brand guidelines, quality standards, and retailer requirements.
-Organize and archive approved assets, style guides, and product documentation for internal and external use.
-Serve as a point of contact for direct retail accounts, licensees, and distributors regarding approvals, timelines, and deliverables.
-Support retail placement initiatives by tracking product submissions, retail pitches, and placement timelines.
-Assist with resolving licensing issues, discrepancies, or questions in collaboration with legal, finance, and business development teams.
-Manage Amazon selling channel by putting together design concepts based on pre-existing assets and submitting mocks for band approval. Upload design assets into Merch on Demand platform with product descriptions, blank colorways, and pricing.
-Actively promote artist anniversaries, new albums, and tours on Amazon by adding new merch or creating exclusive assortments, adding banners, getting key placements, and partnering with Amazon to obtain all selling advantages.
-Develop artist page(s) for Amazon marketplace and ad spend campaigns as needed.
-Research, create and update marketing materials to promote Futureshirts’ Artists.
-Support royalty reporting processes by collecting sales data and coordinating with finance teams.
-Prepare internal status reports on licensing activity, approvals, and retail performance.
-Pursue trademark protection of our band properties. Work with our brand protection partners to remove infringing products and send infringement notices as needed or directed by artist management or FS team.
Requirements
-Bachelor’s degree in Business, Marketing, Merchandising, or a related field (or equivalent experience).
-1–3 years of experience in licensing, retail merchandising, brand management, or a related coordination role.
-Experience working with retail licensing, consumer products, or branded merchandise.
-Familiarity with licensing agreements, approvals workflows, and royalty structures.
-Experience coordinating with mass market or specialty retailers.
-Strong organizational skills with exceptional attention to detail.
-Excellent written and verbal communication skills.
-Proficiency in Microsoft Excel and document management systems.
-Ability to thrive in a fastpaced, deadlinedriven environment.
