Description
Under the general supervision of the City Clerk, the Deputy Clerk serves as support in all functions of the Clerk’s office including administering elections, cemetery sales and records, and maintenance of City records. May serve as Secretary for various Boards and Commissions. This is a full-time bargaining unit position.
- Assists in preparation and execution of all elections including early voting
- Maintains the Qualified Voter File (QVF)
- Responsible for processing Absentee Ballots
- Performs ballot testing and election equipment maintenance
- Maintains Cemetery records electronically and historical paper documents
- Assists with cemetery sales and coordination of burials
- Processes Accounts Payables
- Processes FOIA Requests
- Processes and issues Licenses and Permits
- Draft Proclamations
- Serves as back up to City Clerk at Council meetings
- Assists with Front Office functions as necessary
- Performs other duties as assigned
Requirements
Minimum Requirements:
- High School Diploma or GED.
- Must possess a valid Drivers License.
- Must be a registered voter in the State of Michigan.
- Election Officials Accreditation is required to be obtained. Previous accreditation is preferred.
- Two years’ experience in a municipal office setting, including some election experience.
- Ability to work effectively under stress, within deadlines and with changing priorities.
- Strong organizational skills.
- Ability to lift heavy election equipment and records.
- Ability to establish effective working relationships and use good judgement, initiative and resourcefulness when dealing with the public, City officials, and employees.
- Ability or work some weekends as required by election law.
- Ability to travel for meetings, trainings, or conferences.
Preferred Qualifications:
- Election Officials Accreditation or Election Inspector Training Certificate
- MiPMC Designation
- Experience with QVF, BS&A, or Pontem
- Experience as a Recording Secretary
