The purpose of your role as an Operational Services Coordinator
As an Operational Services Coordinator, you will provide administrative support to business operations, construction, and estimating teams. A core responsibility of this role is managing the Operational Services Team shared inbox to provide prompt responses and support to ensure seamless business operations. Assisting and facilitating communication with business partners and internal teams to complete credit applications, business partner set-ups, and complete ACH updates are additional imperative responsibilities in this role. A successful candidate will be highly organized, responsive, and have the ability to prioritize requests and pivot as business needs change.
Organizational Support:
- Manage shared operational services team email inbox by answering basic inquiries, forwarding requests to the correct department, sorting emails to appropriate folders, categorizing, and overall organization of emailed requests and information.- Research and communicate with team members and other departments to accurately respond or redirect emailed requests.
 
- Set-up business partners (vendors, customers, and employees) in various Harris ERP systems.
- Manage and maintain business partners in Harris ERP systems to ensure alignment and minimize duplication.
- Ensure payment remittance/billing and legal information is current and validate by communicating with external customers and vendors.
- Process credit applications and forms for local and out of state vendors by applying knowledge of company information and business structure.- Thoroughly analyze terms and conditions and flag items for further review by escalating to the appropriate department when needed.
 
- Allocate p-card charges for various departments. Communicate effectively with card holders to meet allocation deadlines. Maintain efficient record-keeping processes for p-card receipts.
- Assist with p-card administration and distribution, as needed.
Administrative Support:
- St. Paul Construction and Service + BA Teams- Print necessary plans/CAD drawings on Harris plotting machines, as requested.
- Create Operations + Maintenance manuals at the end of projects for distribution to customers, as requested.
- Complete and submit permit applications based on project scope requirements. Ensure documents submitted comply with state and local permitting laws.
 
- St. Paul and Rochester Estimating- Create bid folders and specs.
- Download project plans and specs into Harris network and distribute to subcontractors for bidding.
- Create weekly bid list and distribute to team members.
- TIFF documents and Overlay drawings in Bluebeam as requested.
 
- QA / QC- Assist with transcription and digitizing of jobsite and other logs, as requested.
- Request and maintain Certificates of Insurance for St Paul and other regions as requested.
 
General Administrative:
- Prepare FedEx and/or other courier services, as needed
- Assist with special projects and other duties, as assigned.
- Assist with archives.
- Front desk back-up coverage.
What we're looking for in you
- Associate's degree in business or related preferred
- Proficient with Microsoft Office advanced typing skills
- 2+ years if experience writing business level correspondence
- 2+ years of experience providing administration support to a group or division
- Ability to work as part of a team and take direction from multiple stakeholders
- Knowledge of mechanical contracting preferred

Pay Range: $23.69 - $35.53 per hour
The actual salary offer will vary by candidate based on a wide range of factors such as specific skills, qualifications, experience, and location.
